General Instructions Community Center Rental
Purpose of this document is to familiarize those who wish to rent Joyce Hanks Community Center for a private event about basic procedures. Each renter is expected to sign an agreement and submit a deposit to hold the date(s) they wish to rent the facility.
KEY PICK UP: You will be provided a key to the center the week of your rental. Generally that will occur on Thursday evening, but the manager will contact you earlier in the week to confirm.
KEY RETURN– When your event concludes the key must be dropped in the box inside of the front door, after locking, both the front and back doors.
HOURS: Exact hours will be noted on your contract. Any events that exceed noted hours may be charged an additional $50/hour. Extra hours outside of the stated contract must be arranged in advance.
BUILDING USE/RULES/PROCESS BEFORE LEAVING: Decorations/tape are not allowed to be affixed to walls, ceilings or fans. Use of confetti is not allowed as it is very difficult to remove from VCT floors. All chairs/tables are to be neatly stacked on the appropriate carts-facing the same direction. Please do not drag equipment across the floors. Tables and chairs are not allowed outside of the building. Your deposit may be charged for failure to follow these guidelines.
All trash should be removed, taken to the dumpster on the west side of the building. Exterior doors are not to be left open (to conserve heating/cooling energy and prevent bugs.)
Kitchen equipment (countertops, microwave, stove) should be wiped down. A dry sweep of the floor should be performed. Brooms, dust mops and dust pans are located in the coat room. Any spills (food, beverage) should be cleaned up – towel dispensers are located throughout the building. Your deposit may be charged for failure to follow these guidelines.
The partition in the west room separating the addition, is strictly for city use only. Use of the mounted television must be arranged in advance and otherwise is not available to renters. Your deposit may be charged for failure to follow these guidelines.
YOUR DEPOSIT- The deposit collected is two-fold, both as a booking deposit to secure a date and held as security. The $200 deposit is in addition to the rental fee. The building is inspected/cleaned after each function (including use of surveillance cameras throughout the property). If everything is satisfactory, your deposit will be returned, via check, from City Hall. This process could take a couple weeks. Your deposit may be charged for failure to follow these guidelines, damage to equipment or if excessive cleanup is necessary.
HELPFUL HINTS: Plugging more than one roaster/crockpot into a multi-plug outlet may trip a breaker. Spread your use of outlets for cookware, DJ equipment, etc. along the wall as many outlets are available and wired independently. Consider bringing handwipes/spray cleaners to wipe down counters/tables etc. Large bags are provided for our cans.
